What You Should Know About Corporate E-mail Systems
You can add graphs, charts,
pictures and documents to your message.
With most systems, these
can either be included
in the message body or added as an attachment,
or you can place a link in the message.
Remember that an attachment
is sent to every recipient of the message, while a link is
simply
a reference point back to the original document, stored centrally on the server.
For a link to function,
the recipient must be connected to your network and have access
to the files that you have linked to.
Links can save storage
space and reduce the load on your network. Also, if the linked
document’s contents change, you do not have to send a new message to update your
recipients.
Be aware that linked documents
are not available to people who read their messages off-
line, until they re- connect.
Gateways
A gateway is a connection between two dissimilar E- mail systems.
When your message leaves
your corporate system and travels on to the Internet, the
message must pass through a gateway where it is converted to the Internet mail format.
When you send messages
to another system:
- attachments can be lost.
- links will not work.
- formatting may be lost or unreadable.
