Effective Communication: We Just Need The Facts
If your messages are clear, concise and to the point—voice mail, telephone calls, or memos—they have a much higher chance of being read, interpreted correctly, and responded to.
Example:
To:  you, the reader
From:Wayne
Subject:  Long-winded messages
 
Be clear and concise in your message. Provide the answers to these questions:
  • who
  • what
  • when
  • where
  • why

 
Continue with more detail for the recipient to read at his or her discretion.
Make sure your message includes the points that you know are important to the recipient and summarize them at the top of the message.
